StudyWorkspace (accessible via studyworkspace.online) is committed to protecting student data and individual privacy. This Privacy Policy details the information we collect, how it is handled for cross-device synchronization and AI-assisted studying, and your comprehensive data rights under Google Play Developer policies and global privacy standards (GDPR and CCPA).
1. Information We Collect
To enable personal workspace management and cloud synchronization across mobile and desktop devices, we collect:
- Account Credentials: During account creation or sign-in, we collect your email address and authentication identifier (UID). Authentication is managed securely through Google Firebase Authentication. Passwords are encrypted at all times; StudyWorkspace never has access to plaintext passwords.
- Academic Study Content: Folders, study papers, questions, notes, and study sets you generate in the application.
- Audio and Lecture Recordings: Audio files you record or upload for Whisper speech-to-text transcription. Audio files are stored in your private, authenticated Google Firebase Cloud Storage account directory.
- Minimal Device Diagnostics: Non-identifying technical information (operating system version, crash traces) to preserve system stability and fix bugs.
2. How Your Information Is Used
Your academic data is used strictly to provide and enhance your study experience:
- Cross-Platform Synchronization: Continuously syncing your folders, study papers, and video slide decks between Android devices and the Microsoft Windows desktop client via studyworkspace.online.
- AI Audio Transcription: Processing your lecture recordings through the Groq Whisper Large v3 neural model to generate accurate, timestamped transcripts.
- AI Study Tutoring: Generating practice questions and providing study explanations via Groq language models.
- Offline Device Caching: Saving copies to local device storage so you can study without an active internet connection.
3. Third-Party Sub-Processors and Data Protection
StudyWorkspace does not sell, rent, or monetize your personal information. We partner exclusively with verified cloud and AI infrastructure providers:
- Google Firebase (Google Cloud Platform): Powers user authentication (Firebase Auth), database synchronization (Cloud Firestore), and media hosting (Firebase Cloud Storage). All data is encrypted in transit via TLS and at rest via AES-256.
- Groq, Inc.: Provides high-speed neural processing for audio transcription (Whisper Large v3) and AI tutoring. Data sent to Groq is processed ephemerally and is not used to train global public AI models.
4. Audio Recordings and Voice Data Rights
Audio files uploaded to StudyWorkspace remain under your exclusive ownership. Audio is uploaded to your private cloud storage folder and used solely to transcribe and render visual presentation slides for your personal study videos. You may delete any audio recording at any time, which permanently removes the file from both your local device and cloud storage.
5. Data Retention and Account Deletion
In full compliance with Google Play Developer Policies and global privacy regulations:
- Permanent Account Deletion: You may delete your account and all associated cloud data at any time via the in-app Profile screen or by emailing [email protected].
- Immediate Purge: When an account is deleted, all associated Firestore documents, files, and audio recordings in Firebase Storage are permanently wiped.
6. Student and Children Privacy
StudyWorkspace is designed for high school, college, and university students aged 13 and older. We do not knowingly collect personal identifiable information from children under 13. If you believe a child under 13 has provided personal data, please contact us immediately for prompt deletion.
